This role provides operational and administrative support to an internal training and onboarding function. The Training Operations Coordinator ensures training requests, onboarding activities, and service engagements move efficiently through internal workflows so programs are delivered on time, accurately, and in a highly organized manner.
Key Responsibilities- Prepare service quotes for requested training and onboarding programs
- Distribute agreements and follow up to secure executed approvals
- Coordinate scheduling and calendar management for all training-related events
- Maintain centralized training calendars and individual team schedules
- Track training requests, delivery timelines, costs, and project status through internal systems
- Support resource scheduling for internal facilitators and external contractors
- Manage post-event feedback tools and compile reporting metrics
- Maintain documentation, session records, and archival materials
- Provide logistical support for in-person and virtual training engagements (rooms, equipment, materials, catering coordination)
- Create and update internal documentation and process guides
- Respond promptly to internal and external inquiries
- Support company-wide events and initiatives as needed
- Provide general administrative and operational support to leadership
- Provide backup front-office/phone coverage when required
- Assist with special projects and cross-functional initiatives
- Experience in a professional office or administrative environment
- Strong proficiency with Microsoft Office tools (Word, Excel, Outlook, communication platforms)
- Multi-line phone system management
- Scheduling coordination
- Process tracking and administrative organization
- Strong multitasking and prioritization skills
- High attention to detail
- Ability to manage multiple projects simultaneously
- Effective communication with diverse internal teams and external stakeholders
- Ability to track workflows across different operational stages
- High school diploma or GED required
- Minimum of two years of relevant administrative or operations experience
- Primarily office-based role
- Extended periods of sitting and computer use
- Occasional lifting (up to 30 lbs)
- Occasional travel and overnight stays may be required
Schedule: Full-time | Monday–Friday | 8-hour shifts within standard business hours (MST)
