Due to a significant increase in business and continued company growth, we are excited to expand our team and are seeking a proactive and detail-oriented Office Administrator to help support our operations and employees.
Position OverviewThis role is ideal for someone who thrives in a fast-paced environment and enjoys wearing multiple hats. You will play a key role in keeping daily operations running smoothly, supporting internal staff, and ensuring an organized, efficient office environment.
Key ResponsibilitiesNew Hire Onboarding & Workstation Setup
Coordinate onboarding logistics for internal team members
Set up workstations, including computers, phones, email accounts, and system access
Partner with IT to ensure all systems are properly configured for new hires
Employee Benefits Administration & Auditing
Track employee start and end dates for insurance eligibility
Enroll employees in health insurance and 401(k) plans through company portals
Conduct regular audits to ensure compliance with company policies and regulations
Prepare weekly and monthly reports to support payroll processing
Office Operations & Vendor Management
Manage the main office phone line and provide general front-office support
Maintain inventory of office supplies, equipment, and snacks
Coordinate with vendors (IT, phone, internet, etc.) to ensure smooth operations
Plan and coordinate Team Outings and Company Events
Organize and celebrate employee birthdays and special occasions
Purchase decorations and manage office décor, including setup and take down
Order food and coordinate catering for meetings, events, and celebrations
Credentialing Support
Assist the credentialing team with collecting and organizing required documents (licenses, certifications, immunizations)
Track and monitor expiration dates for credentials and notify staff of upcoming renewals
Support background check and fingerprinting processes
Maintain accurate and up-to-date records in credentialing databases
Communicate with employees to ensure timely submission of required documentation
2+ years of experience in office administration, coordination, or similar role
Proficiency in Microsoft Office and familiarity with tools like Google Workspace and Slack
Strong organizational skills with excellent attention to detail
Effective written and verbal communication skills
Ability to prioritize tasks and manage multiple deadlines in a fast-paced environment
