Position Summary
Reporting to the Chief Development Officer, the Development Coordinator will assist with donor activities such as gift acknowledgement letters and database stewardship. This position supports all systems and processes tied to donations, both in-kind and monetary. The role also provides administrative support to the President and Chief Executive Officer. The Coordinator must be able to organize hard and electronic files, conduct research, manage development software, and support special projects.
Responsibilities include keeping accurate minutes for meetings, creating and maintaining spreadsheets, presentations, documents, databases, and reports, and corresponding with staff, vendors, donors, and volunteers who engage with House of Refuge.
- Assist President and CEO with the maintenance and modification of policies, procedures, guidelines, administrative tasks, and reporting; record minutes from monthly Board meetings, assemble Board materials and books, and order Board and donor gifts as needed.
- Provide administrative support to the Chief Development Officer for donor acknowledgment tasks, entering donations, reporting, and sending letters.
- Maintain and keep Donor Perfect current—add new donors and donations, update addresses, merge and complete files with notes, investigate and resolve discrepancies, confirm correct coding, and pull accurate reports.
- Support the Development Department with fundraising software and assist with other department duties as needed, such as procurement.
- Support staff with event tracking systems, including entering and tracking all donations, donors, ticket purchases, and sponsors; work regularly to ensure successful implementation of software during events.
- Provide social media support by gathering content for posts, organizing and scheduling content with the marketing services team.
- Perform all other duties as assigned.
- Experience with Donor Perfect software preferred.
- Two years of experience in administrative assistant duties required.
- Proficient in all Microsoft Office software.
- High level of expertise in using technology, learning software, and data entry.
- Consistently learns and demonstrates knowledge of all House of Refuge program policies and procedures.
- Maintains a high level of confidentiality regarding employee and resident matters and the ability to maintain professional boundaries.
- Ability to interact and communicate with a diverse population verbally and in writing.
- Excellent customer service, grammar, and punctuation skills.
Candidates must be available to work from office 40 hours a week. During peak events, slightly higher. Usual business hours are Monday – Friday, 8:00 a.m. – 5:00 p.m.
