** Administrative Assistant
** to serve as the face of our company. You will be the first point of contact for our customers—whether they walk through our door or call us on the phone—ensuring they receive top-tier service and accurate information.

This isn’t just a "front desk" job; you’ll be a vital part of our operations, handling everything from financial reconciliations and contract reviews to logistics and digital support.

This position works a 40 hour work week - Monday - Friday.
** What You’ll Do**
* ** Customer Relations:
** Greet visitors warmly, provide company materials, and handle high-volume inquiries with excellent telephone and in-person etiquette.
* ** Financial Administration:
** Collect payments, reconcile customer accounts, process/balance billing, and collect on past-due accounts.
* ** Documentation & Compliance:
** Review contracts, property ownership records, rental leases, and HOA policies with customers to ensure compliance; notarize official documents (following all legal protocols).
* ** Operations Support:
** Receive and route deliveries to the appropriate departments and assist customers with website registration and troubleshooting.
* ** Data Management:
** Utilize Word and Excel skills to maintain records, create reports, and streamline office workflows.

* ** Service Mindset:
** A natural ability to remain professional, patient, and helpful under pressure.
* ** Attention to Detail:
** Precision in handling financial transactions, billing, and contract reviews.
* ** Certification:
** Current
** Notary Public
** commission (or the ability to obtain one).
* ** Reliability:
** Strong organizational skills with the ability to manage multiple priorities independently.
* ** Time Management & Proactivity:
** Exceptional ability to
** pivot and reprioritize your workload
** appropriately while managing deadlines. You are a self-starter who stays productive with internal projects and administrative tasks during slower periods.
* ** Tech Savvy:
** Proficient in
** Microsoft Word and Excel.  Comfortable learning new systems and processes.**
* ** Flexibility:
** Ability to handle frequent change and the challenges that can present.  Ability to troubleshoot when necessary.  You enjoy having new tasks and challenges routinely.## Qualifications
** Qualifications
* ** High school diploma or equivalent.
* Two (2) years of administrative support experience.
* Working knowledge of Microsoft Office (Word, Excel, Outlook, etc.), Photoshop and Publisher experience are a plus.
* Effective verbal and written communication skills.
* Ability to read, write, and understand the English language.
