Office Administrator/ Coordinator, Virtual Assistant/ Remote Admin
In this role, the Scheduler I coordinates activities of a specialized nature from internal and external stakeholders, ensuring timely and accurate completion of assigned scheduling activities. This role requires a working knowledge of departmental procedures to support operational effectiveness and involves compiling data under close supervision to support scheduling activities.
Responsibilities- Compile data under close supervision to support scheduling activities.
- Coordinate and schedule resources for instructor training, client training, demonstrations, simulator certification, and maintenance requirements.
- Identify and coordinate shipment of required documentation and materials.
- Publish instructor schedules in alignment with operational needs.
- Ensure all scheduled events comply with applicable regulations and requirements.
- Schedule instructor resources to support optimal productivity and utilization.
- High School Diploma or equivalent
- 0–1 year of relevant experience in scheduling, coordination, or administrative support
- Fluency in English
- Must be authorized to work in the United States
- Ability to prioritize and manage multiple competing priorities effectively
- Working knowledge of planning and scheduling tools/applications
- Proficiency in Microsoft Excel or similar database tools
- Ability to work onsite
- Experience using scheduling or workforce planning systems
- Strong organizational and coordination skills in a fast‑paced environment
- Ability to work collaboratively with cross‑functional teams
- Background or exposure to the aviation industry
- Occasionally ascend or descend ladders, stairs, scaffolding, ramps, or similar structures
- Occasionally move within confined or tight spaces
- Constantly maintain a stationary position (standing or sitting)
- Occasionally move about to accomplish tasks
- Occasionally lift or move items up to 20 pounds
- Constantly perform repetitive motions involving hands, wrists, and fingers
