Primary Responsibilities- Assist the Facility Manager with office and building issues, organization, and maintenance.
- Oversee building operations, including being the local contact with the property management company and related vendors (such as the cleaning service, mat service, etc.).
- Provide onsite support for all infrastructure and maintenance projects, including building projects and office relocations.
- Assist with managing any service work items with either the property management company or hiring a handy man.
- Manage the building access cards.
- Schedule routine carpet cleaning / window cleaning.
- Manage the names placed on office doors when there is office movement.
- Maintain parking spots in garage.
- Maintain AED monthly updates.
- Manage Advisor office movement based on production levels for the year.
- Issue and manage office and desk keys.
- Manage office supplies and submit orders as needed. Restock supplies in the Wellness room and restrooms.
- Maintain the storage room, reorganize as needed.
- Maintain the kitchen and coffee areas. Ensure cleanliness and keep fully stocked with supplies.
- Back up Receptionist for lunch periods, breaks, and days off.
- Facilitate logistics with visiting Renaissance Advisors, Staff, and Guests.
- Coordinate the new hire process with hiring managers including desk setup, technology set up, welcome kit, first day office orientation and tour, etc.
- Serve as onsite contact for all departments including Marketing, Human Resources, and IT.
- Assist IT department with periodic cyber security audits. Provide backup support for IT set up, troubleshooting and desktop support.
- This position requires demonstrated poise, tact and diplomacy.
- Ability to interact and communicate with individuals at all levels of the organization.
- Work requires attention to detail in such things as composing, typing and proofing materials, establishing priorities and meeting deadlines.
- Work in a fast‑paced environment with demonstrated ability to juggle multiple competing tasks and demands.
- Ability to take initiative, problem solve and work independently.
- High School diploma.
- Two or more years of experience in an office environment.
