Position

Summary

The Lease Return Administrator owns the accuracy, completeness, and audit-readiness of all lease return and delivery records across the organization. This role manages asset-level data, documentation, and system updates to ensure full visibility and control throughout the return lifecycle. The Administrator partners with internal teams and external partners to validate information, maintain records, and resolve discrepancies that impact inventory, financials, or compliance.

Success in this role requires strong attention to detail, data integrity discipline, and the ability to manage structured workflows within systems.

Essential Functions and Responsibilities
  • Own the accuracy and integrity of lease return and delivery data across all systems, ensuring asset records (serial numbers, locations, condition, and status) are complete, consistent, and up to date.
  • Maintain system-of-record updates across internal tracking tools, spreadsheets, and carrier platforms to ensure end-to-end visibility of equipment throughout the return lifecycle.
  • Perform ongoing data validation and reconciliation to resolve discrepancies between physical shipments, system records, and lease or financial documentation.
  • Maintain comprehensive, audit-ready documentation for each lease return, including bills of lading, carrier confirmations, return authorizations, and customer communications.
  • Ensure all records meet internal control standards and support audit, compliance, and financial reconciliation requirements.
  • Track return and delivery status through completion, maintaining structured records and reporting tools to support visibility into timelines, aging, and exceptions.
  • Partner with Sales, Lease Administration, Finance, and branch operations to collect, validate, and confirm asset and return details required for processing.
  • Coordinate approvals, documentation, and asset verification activities to support lease returns, buyouts, and related transactions.
  • Provide clear, timely communication to internal stakeholders and clients regarding return status, documentation requirements, and issue resolution.
  • Investigate and resolve discrepancies related to asset tracking, shipment status, or documentation gaps by researching source data and coordinating corrections across systems and teams.
  • Proactively identify risks to timelines, data accuracy, or compliance requirements, and escalade issues with recommended actions to prevent downstream impact.
  • Support continuous process improvement by identifying recurring issues and contributing to improved tracking, documentation, and workflow standards.
Qualifications and Experience

Minimum Qualifications:

  • High school diploma or equivalent.
  • 1–2 years of experience in administrative operations, asset management, inventory control, or data‑driven coordination roles.
  • Strong data entry and data validation skills with a high degree of accuracy and attention to detail.
  • Proficiency in Microsoft Office, particularly Excel (sorting, filtering, maintaining trackers) and Outlook.
  • Ability to manage and maintain detailed records across multiple systems while ensuring completeness and accuracy.
  • Strong written and verbal communication skills to support cross‑functional coordination and issue resolution.

Preferred Qualifications:

  • Associate’s degree or higher in business, operations, or a related field.
  • Experience with asset tracking, inventory control, or lease/equipment management processes.
  • Familiarity with ERP, WMS, or asset management systems and maintaining system-of-record data.
  • Experience reconciling discrepancies between systems, documentation, and physical inventory.
