Position:
Contact Specialist

This role plays a critical role in ensuring efficient communication and operational support for the Residential Services team. The Contact Specialist maintains accurate records, monitors compliance, and provides administrative assistance. The role collaborates closely with the Executive Director, Program Administrators, DDD, ASDHS, AHCCCS, medical insurance providers, and city and Navajo Nation business licensing authorities. The specialist oversees the clerical management of stakeholder contracts under the guidance of the QA Director.

Job Functions
  • Prepare and edit correspondence, communications, presentations and other documents.
  • Monitor and maintain compliance of Residential/Hourly Division licences with state agencies and renew as needed.
  • Monitor and maintain compliance of Residential/Hourly Division’s government vehicle and fleet 5310 program.
  • Manage clerical oversight of all stakeholder contracts with support from the QA Director.
  • Ensure contracts are accurate, complete, and filed in accordance with organisational policies.
  • Coordinate and maintain compliance with city, state, and Navajo Nation business licensing requirements.
  • Monitor expiration dates and ensure timely renewal of all business licences.
  • Maintain accurate and organized records of licensing documentation.
  • Collaborate with Program Administrators, DDD, ASDHS, AHCCCS, and other key agencies to support compliance and operational needs.
  • Record, transcribe, and distribute minutes of meetings when applicable.
  • Serve as a liaison between internal teams and external agencies to ensure effective communication and workflow.
  • Address inquiries and provide information related to licensing, contracts, grants, and compliance as needed.
  • Work closely with the QA Director to ensure that all administrative processes align with organisational policies and state requirements.
  • Review operating practices and implement improvements where necessary.
  • Ability to work both independently and as part of a team.
Qualifications
  • Minimum 3 years of experience providing high‑level administrative support.
  • Bachelor’s degree is an advantage and preferred.
  • Proficient computer skills and in‑depth knowledge of MS Office Suite and Google Workspace.
  • Knowledge of standard office administrative practices and procedures.
  • Effective verbal and written communication skills.
  • Demonstrable leadership, critical thinking, judgment and decision‑making ability.
  • Extremely accurate and attentive to details.
  • Effective organisational and planning skills.
  • Strong information gathering, monitoring, and problem‑analysis skills.
  • Effective in managing projects from start to end.
  • Ability to adapt and keep confidentiality.
  • Ability to pass a criminal background check including Level One Fingerprint Clearance Card, drug test and driving record check.
  • Ability to work in an office setting.
  • May require ability to walk, kneel, stand.
  • Ability to respond quickly to health, safety, and emergency situations.
  • Ability to maintain professional interactions with internal and external partners.
