Secretary to Assistant Principal - Mesa High School
Tasked with providing administrative and clerical support to the school assistant principal and/or assigned personnel, ensuring compliance with financial, legal, and administrative requirements.
Key Responsibilities- Perform secretarial functions such as typing, filing, recordkeeping, scheduling, and coordinating activities to support the assistant principal.
- Respond to inquiries from students, parents, teachers, district personnel, and the general public, providing procedures, information, or direction as required.
- Direct students with attendance or discipline referrals to the appropriate assistant principal or team leader.
- Type and revise the master schedule and input student and teacher scheduling data.
- Compose documents such as correspondence, newsletters, memos, minutes, and school mailings to communicate with stakeholders.
- Prepare and process documents including suspension and expulsion letters, facility permits, and incoming/outgoing mail in compliance with regulations.
- Schedule and process paperwork for CIT and 504 meetings.
- Assist with registration schedules, open house, and commencement activities.
- Maintain regular and on‑time attendance.
- Serve as receptionist and distribute district and U.S. mail during the summer months.
- Assist with other duties as assigned.
- High school education or equivalent.
- Knowledge and experience with the Synergy system.
- Bookkeeping and recordkeeping experience.
- Demonstrate the attributes and skills of the MPS Portrait of a Graduate.

- Above‑average typing proficiency with good accuracy and strong English grammar and math aptitude.
- Proficiency with basic office software such as Word and Excel.
- Ability to operate standard office equipment.
- Build effective relationships with students, parents, site and district personnel, and the general public.
- Communicate effectively both verbally and in writing while maintaining confidentiality.
- Organize, prioritize, and take initiative to manage workload and meet deadlines in a frequently interrupted environment.
- Knowledge of school district policies and procedures is beneficial.
Physical Requirements
- Primary work location is the main office or administrative area of a school.
- Regularly handles interruptions from students, parents, teachers, and staff.
- Interacts with the assistant principal, principal, faculty, and sometimes the district office.
- Manages multiple tasks simultaneously, including answering phones, handling paperwork, and scheduling.
- Handles urgent administrative or disciplinary matters.
- Prolonged periods of sitting at a desk or computer.
- Occasional lifting of light items (10–20 lb) such as files or office supplies.
