The RoleAs our Office Manager, you will be the heartbeat of our Mesa headquarters. You will oversee daily office operations, provide top-notch administrative support to our leadership, and ensure our staff has exactly what they need to succeed.
What You’ll Do 1. Office Operations- Be the First Impression: Manage our part‑time receptionist(s), handle incoming inquiries, and warmly greet visitors, clients, and guests. You will spend most of the day in office management activities, but will perform receptionist activities for a few hours a day during slow hours when you can also work at your front desk computer.
- Keep Us Running: Oversee and restock all office and break room inventory.
- Facilities Management: Coordinate directly with building management on repairs, maintenance, and facility needs.
- Tech & Equipment: Ensure all office equipment (printers, copiers, phones) is serviced and ready to go, coordinating with IT when needed.
- Process Improvement: Draft and implement effective office policies and procedures.
- Maintain the Space: Keep our common areas, break rooms, and conference rooms organized, welcoming, and pristine.
- Mail Logistics: Handle all incoming and outgoing mail and package distribution.
- Executive Assistance: Provide seamless administrative support to our CEO, senior management and staff.
- Schedule Mastery: Manage and coordinate complex calendars, filtering and prioritizing meeting requests.
- Travel Coordination: Book flights, accommodation, and track itineraries for the team.
- Vehicle Checkout/Coordination: Manage the company vehicle checkout process, schedule routine maintenance, and help maintain driver lists.
- Record Keeping: Organize, file, and maintain digital and physical records management systems.
- Special Projects: Support leadership with research, ad‑hoc tasks, and expense reporting.
- Onboarding: Assist in welcoming new employees by coordinating workspace setup, orientations, and IT needs.
- Team Engagement: Coordinate exciting staff events, team‑building activities, and office celebrations to keep our culture thriving.
- Internal Communications: Maintain directories and seating charts, and disseminate important employee updates.
- Go-To Resource: Serve as the primary point of contact for any staff questions regarding office policies and procedures.
