Probation Administration Assistant

The Probation Administration Assistant uses their administrative and organizational skills to provide administrative support to the Juvenile Probation Department. You will work with a team of highly committed professionals who envision a future where all youth are connected to the community, a contributing member of society, and accountable for their behavior.

The Juvenile Probation Department of the Judicial Branch of Arizona in Maricopa County is dedicated to providing innovative and efficient juvenile justice services grounded in evidence-based practices and research. Qualifications

  • High school diploma or GED
  • Two (2) years of general clerical experience
  • OR
  • Combined

    Education and Experience

    Qualifications:

    Post-secondary education may substitute for experience on a year-for-year basis

Our Preferred Candidate Has:

  • Bilingual in both Spanish and English

Knowledge, Skills, and Abilities:

Knowledge of:

  • Administrative and clerical procedures and systems such as word processing, managing files and records, designing forms and other office procedures and terminology
  • Principles and processes for providing customer service, including customer needs assessment, meeting quality standards for services and evaluation of customer satisfaction

Skill in:

  • Microsoft Office products:
    Outlook, Excel, Word, and Teams
  • The operation of office equipment such as fax machine, printer/copier, and computer terminals
  • Using effective time management to handle multiple tasks at one time with numerous interruptions

Ability to:

  • Maintain a thorough understanding of the Department's role in supporting the Probation Department's Mission, Vision, and Values.
  • Maintain high levels of professionalism, confidentiality, and cultural sensitivity in all interactions
  • Analyze, interpret, and apply complex information
  • Accurately prepare and maintain records, files, and reports
  • Prioritize and manage multiple assignments efficiently
  • Learn and master core business and support applications
  • Process and handle sensitive confidential information with discretion
  • Learn new skills necessary to support the needs and the mission of the Department and the Court
Essential Job Tasks

(This is not an all-inclusive list of all job duties that may be required; employees will be required to perform other related duties as assigned.)

  • Responds to telephone calls and other inquiries that require a broad knowledge of operating policies and procedures and/or functions of a large complex organization.
  • Manages the Probation Reception Desk
  • Analyze data and create reports, using Excel and Word software programs
  • Completes data entry which requires attention to detail and thoroughness
  • Creates probation and diversion files
  • Maintains the file room
  • Delivers internal mail
  • Processes juvenile warrants
  • Tracks, schedules, and disseminates psychological evaluations
  • Schedules appointments
  • Compiles Arizona Department of Juvenile Corrections (ADOJC) packets and processes service authorization forms
  • Provides administrative support for the Probation Department, Juvenile Intensive Probation Supervision (JIPS), Diversion and Treatment Division in the Community Supervision Bureau (CSB)

Working Conditions:

Office setting. Some assignments may require travel to other locations throughout Maricopa County.

While performing the duties of this job, the employee may need to communicate clearly, perceive details of objects that are close by, and maintain various physical positions for extended periods, such as sitting, standing, or walking. The job may involve using hands for tasks such as typing, handling objects, or operating tools, as well as reaching with hands and arms. Occasionally, the employee may be required to move or lift objects weighing up to 20 pounds.
