Full-time (40 hours per week)
Base Hourly:$19.89
Class/Calendar:B21, 11.25 months

1% of the base hourly rate granted for each year of verified like experience (within ten years) beyond the requirement, up to a ten-year maximum

Job Summary:To provide administrative and clerical support to school site administrator and assigned personnel; to communicate information regarding school and/or district functions; and to ensure compliance with financial, legal and administrative requirements of assigned functions.
Key Responsibilities:- Perform secretarial functions (i.e. typing, filing, recordkeeping, etc) for the purpose of assisting school administrator and assigned personnel
- Respond to inquiries (students, parents, teachers, district personnel, general public, etc) to communicate procedures, information and/or direction and/or to evaluate situations to take appropriate action according to established guidelines
- Compile data from a variety of sources (i.e. timesheets, requisitions, student enrollment, student attendance, cash deposits, etc) and prepare reports ensuring accuracy and compliance with financial, legal and/or administrative requirements
- Compose documents and/or written materials (i.e. correspondence, newsletters, memos, minutes, etc) to communicate and convey information to students, parents, teachers, etc
- Process and/or prepare documents and materials (i.e. PARFs, requisitions, timesheets, transcripts, incoming/outgoing mail, etc) to disseminate information in compliance with district, state and/or federal regulations
- Schedule and coordinate activities (i.e. appointments, meetings, calendars, etc) for assigned personnel
- Secure substitute personnel, as needed, to ensure staffing requirements are met for the efficient operation of site activities
- Establish and maintain accurate site files and records in accordance with district, state and/or federal regulations
- Maintain and order supplies and materials ensuring availability; monitor budget expenditures in compliance with district, state and/or federal guidelines
- Regular and on-time attendance required
- Perform other related duties, as assigned, to ensure the efficient and effective functioning of the work unit
- May direct or guide other personnel assigned to site
- Assists with other assigned duties as appropriate to the area of assignment and Mesa Public Schools
- High School education or equivalent
- Previous related work experience
- Public school experience

- Moderate proficiency in typing, with good accuracy
- Computer proficiency to include use of basic software applications (Word, Excel, etc)

- Must enjoy working with students, teachers and parents and have an understanding of pupil problems
- Ability to evaluate situations and make decisions in absence of site administrator
- Ability to communicate effectively (verbal and written); maintain confidentiality
- Ability to organize, prioritize, take initiative, direct own workload and meet deadlines while working with frequent interruptions and minimum supervision
- Knowledge of school district policies and procedures beneficial
Physical Requirements:
- Typically based in the school's main office or administrative area
- Frequent contact with students, parents, teachers, and administrators—requiring strong interpersonal and communication skills
- Regularly interacts with the principal, assistant principal, faculty, and district personnel.
- Manages multiple tasks simultaneously—answering phones, handling paperwork, scheduling, etc.
- May need to deal with disciplinary issues, upset parents, or urgent administrative tasks The mention of software is addressed in the Skills & Competencies section so not needed
- Positions in this classification often require physical activities such as stooping, kneeling, crouching, standing, walking and sitting
- Occasional lifting or carrying files, books, etc up to 40 lbs
