Our ideal Office Administrator has some hotel or business administration experience, but it's not required for the right person. You could be the right fit if you're highly meticulous, organized, and you meet the following:

  • Working knowledge of accounting principles
  • Proficiency with computers and Microsoft programs
  • Ability to complete accurate, efficient work within time constraints and maintain confidentiality
  • Ability to take initiative, work independently, and coordinate with a team
  • Ability to handle files, grab supplies, use office equipment, carry 20 lbs., and move up to 40 lbs.
  • Strong communication and customer service skills
  • Excellent organizational skills for prioritizing responsibilities, strategizing workloads, and maintaining efficiency
ARE YOU WHO WE'RE LOOKING FOR?

As our Office Administrator, you'll manage the key administrative and operational aspects that ensure hotels operate well and remain in compliance with all regulations. This is an invaluable role where you'll ensure vital matters - such as auditing, accounting, human resource, and payroll/benefits administration - are completed accurately and efficiently. You'll be the bridge between office staff and hotel managers, accurately communicating information and sharing updates with all parties.

In all your activities, you'll maintain accuracy, punctuality, and confidentiality. Organization is also key, as you'll manage and update critical financial, administrative, and employee records.

The Office Administrator reviews daily hotel reports, internal controls, shipping bills, and professional correspondence to verify accuracy and prevent any errors. Ensuring precision, you'll complete daily night audits, reconcile rewards redemptions, respond to credit card chargebacks, sort incoming mail, prepare outgoing mail, and enter approved invoices into the accounting system. You'll also help build and maintain strong hotel teams by working with HR associates to post openings, onboard new hires, confirm wages/job classifications, and enroll staff in benefits.

As needed, you'll help with additional responsibilities such as researching vendors/suppliers, corresponding with office managers, supporting hotel management decisions, and assisting with additional HR tasks.

Must have the ability to pass a background check and drug screening.
