Job SummaryTo maintain accurate and reliable information about student records and files in a computerized system in order to retrieve and convey information to appropriate parties.
Key Responsibilities- Oversee the input of all student related data in appropriate Synergy files
- Obtain transcripts and records for all enrolled students; record transcripts for each student; evaluate transcripts of new students; tabulate credits for graduation requirements
- Calculate and maintain GPA and class rank lists; post grades and grade changes; maintain testing information on permanent files
- Implement the process and maintain records pertinent to the enrollment and withdrawal of all students
- Compile and maintain list of graduates and non graduates; order, maintain and prepare diplomas for graduation
- Oversee the printing of Synergy related forms and reports
- Work with assistant principal to build and to maintain master teaching schedule and in the organization of August registration
- Regular and on-time attendance required
- Assist teachers in processing grades, schedule changes and other student records data
- Work with Information Systems to ensure smooth operation of SASI/GENESIS
- Assist in maintaining class enrollment counts
- Assists with other assigned duties as appropriate to the area of assignment and Mesa Public Schools
- High School education or equivalent
- Computer proficiency to include use of basic software applications (Word, Excel, etc); experience with district based student database Synergy
- Record keeping experience preferred
- Models the attributes and skills of the MPS Portrait of a Graduate
- Demonstrates commitment to the MPS Promise that every student is known by name, served by strength and need, and graduates ready for college, career and community
- Moderate proficiency in typing, with good accuracy; excellent test battery; excellent knowledge and usage of English grammar; high math aptitude
- Ability to operate general office machines and equipment; knowledge of school policies helpful
- Ability to organize, to prioritize and to meet deadlines with an accurate attention to detail while working with frequent interruptions and minimum supervision
- Ability to effectively communicate (written and verbal) with students, teachers, parents, district personnel and general public
- Ability to maintain confidentiality
- Ability to lift a minimum of 25 pounds
Physical Requirements
- Primarily works in an office setting within the school campus
- Typically follows standard school hours, but may occasionally work overtime during enrollment, graduation, or reporting periods.
- Regularly interacts with students, teachers, administrators, and external agencies.
- Frequent use of student information systems (SIS), databases, spreadsheets, and office software (MS Office or Google Workspace)
- Much of the work involves desk-based tasks such as data entry, filing, and communication.
- Occasional lifting of documents, files, or office supplies (usually less than 20 lbs)
