Job Summary

The Volunteer Program Manager oversees the volunteer program in Mesa Public Schools, particularly with adults aged 50+ who mentor and tutor young students to improve reading skills. The position conducts site visits to observe tutors and students, maintains and replenishes tutoring inventory, reviews session logs for accuracy, monitors tutoring sessions, communicates with school liaison regarding any student‑related concerns, and handles data collection and entry with attendance logs, timesheets, student session data and volunteer hours.

The role supports session coordination through scheduling and serving as a substitute tutor when needed. Communication and relationship management are key, serving as a liaison between tutors, school staff and program teams. The manager also organizes and hosts community partner and volunteer recruitment efforts, and provides required training in the tutoring model to support tutors and ensure fidelity.

Key Responsibilities
  • Oversee the volunteer program, primarily with adults aged 50+ mentoring and tutoring young students.
  • Maintain and replenish tutoring material inventory and related information.
  • Conduct school (site) visits to observe tutors and students.
  • Recruit and assist in building the volunteer force, including background checks and paperwork.
  • Implement a structured tutoring session model.
  • Carry out formal tutor observations on a regular basis.
  • Review session logs for accuracy and completeness.
  • Actively monitor tutoring sessions.
  • Keep tutors and staff informed of absences, closures, cancellations, and other pertinent information.
  • Communicate with the school liaison about student‑related concerns.
  • Collect attendance logs and timesheets monthly.
  • Review and approve timesheets, making corrections as needed.
  • Enter volunteer hours and student session data monthly.
  • Support scheduling of tutoring sessions.
  • Serve as a substitute tutor when required.
  • Act as liaison among tutors, staff, and program team.
  • Assist with volunteer and community partner recruitment.
  • Attend all required training courses.
  • Provide ongoing support to tutors to maintain fidelity to the tutoring model.
  • Perform other duties as assigned.
Required Qualifications
  • Associate’s degree in communications or related field.
  • Minimum of three years of experience with literacy, reading, or library services.
Preferred Qualifications
  • Bachelor’s degree in education, communications, or a related field.
  • Teaching experience.
  • Reading endorsement.
  • Bilingual in English and Spanish (written and spoken).
