Job Summary

The Division of Student Affairs is committed to advancing the student experience  Student Services Specialist supports Academic Advising and First‑Year Success Services, coordinating front‑line student services, managing outreach, and ensuring high‑quality customer service. The role is instrumental in fostering student persistence, retention, and completion through advising, program coordination, and administrative support.

Essential Functions
  • Student Support Services (35%)
    • Provide level‑1 academic advising: course overrides, prerequisites, testing, placement, and basic policies.
    • Manage the Advising Center phone operations and support students via phone, in‑person, and virtual chat.
    • Track student data, answer inquiries, and route emails appropriately.
    • Assist students in preparing for advising appointments.
    • Maintain knowledge of college processes and policies.
    • Develop departmental knowledge and training materials.
    • Respond to general advising questions via email and other communication channels.
  • Program Coordination (30%)
    • Plan and execute special events and high‑stakes student programming.
    • Monitor data and event participation.
    • Create or complete room reservations.
    • Manage communications with faculty, staff, and other departments.
    • Assist with marketing strategies for retention and completion workshops.
    • Develop training materials to support student operations.
  • Administrative Support (30%)
    • Assign students to appropriate advisors and update records in college software.
    • Coordinate front‑desk operations and manage check‑in processes.
    • Create, distribute, and manage emails, physical mail, website updates, and flyers.
    • Perform clerical support: report development, presentations, equipment requests, contact-list management, and data entry.
    • Organize digital and physical filing systems.
    • Document advising services using the appropriate college software platform.
  • Compliance (5%)
    • Familiarize with the college catalog regarding credit and transfer policies.
    • Support subpoenas and maintain FERPA compliance.
    • Maintain confidentiality and accurate records required for accreditation and administration.
    • Provide reports to the Office of Institutional Effectiveness and other governance bodies.
    • Other duties as assigned.
Minimum Qualifications

Associate’s Degree from a regionally accredited institution and one year of full‑time student services or college teaching experience, or comparable experience in educational program development, student advisement, financial aid, customer service, or related student development programs. An equivalent combination of education and experience may also satisfy the requirement.

Desired Qualifications
  • Minimum 1 year of experience in day‑to‑day office operations, record maintenance, and customer service (receptionist duties).
  • Minimum 1 year of experience planning and coordinating events and activities involving multiple staff members.
  • Minimum 1 year of experience working in a student support area of a higher‑education institution.
  • Experience supporting students or customers in a high‑volume environment.
  • Proficient in Google products, Microsoft products, learning management systems, student information systems, customer service, and case management products.
  • Proficient in English and another language (Spanish preferred).
  • One year of relevant full‑time MCCCD experience within the last two years.
Special Working Conditions

Variable schedule:
August through mid‑May, Monday‑Friday, 8‑hour days; mid‑May through the end of July, Monday‑Thursday, 10‑hour days. Required to sit for prolonged periods and view a computer monitor. Travel may be required. Travel to campus for interview/selection is at the candidate’s expense. MCC does not sponsor work visas.
