POSITION SUMMARY
Operations Supervisor supervises, coordinates and monitors administrative and financial operations for the assigned department(s). Directly supervises professional and clerical staff and serves as the administrative liaison for the assigned department(s). - Ensure the assigned department(s) runs smoothly, efficiently and professionally on a daily basis.
- Assist with new hire orientation, training, supervising, and assigning tasks to staff.
- Manage workflow and monitor quality of work to ensure efficient operational flow, timely completion of assignments and adherence to departmental standards and regulations.
- Coordinate and maintain the monthly schedule for the assigned department(s).
- Track and collect employees’ hours; review hours against scheduled time, track leaves and vacation/sick time, and submit weekly timesheets to the manager/director or, when absent, to the Payroll Department.
- Monitor performance of unit coordinators, ensure compliance with departmental procedures and complete annual performance appraisals.
- Serve as first point of contact for benefit and payroll questions for all department employees.
- Work with managers and staff to resolve employee relations issues, drawing on appropriate BMC resources.
- Schedule meetings, coordinate audio‑visual and technology requirements, order catering services, and related tasks.
- Analyze, categorize and prioritize correspondence; respond to communications on behalf of the Manager and act independently to determine appropriate course of action.
- Collaborate with the department’s educators to create an orientation schedule for all new staff.
- Schedule all mandatory trainings for staff.
- Maintain and supervise departmental files, manuals and records.
- Provide backup support for other administrative staff during breaks and time away from the office.
- Assist with project management and follow‑through.
- Participate in quality improvement teams as required.
- Deal discreetly with confidential information concerning professional and patient issues, including correspondence, test results, billing data, etc.
- Create reports, spreadsheets, presentations and other correspondence as requested.
- Plan, organize and coordinate departmental receptions, meetings or functions.
- Handle telephone calls for the department and use a professional and courteous speaking manner while on the phone.
- Work with unit coordinators to monitor inventory of office supplies and equipment; purchase as needed and stay within the established budget.
- Maintain office equipment in working order and contact vendors or IT for repairs or replacements.
- Maintain open communication lines with other departments and act as liaison with internal and external customers.
- Provide recommendations to administrative office systems to improve office productivity and cost effectiveness.
- Meet hospital‑wide standards, including performance and conduct, patient rights, cultural beliefs, infection control and safety procedures.
- Perform other related duties as needed and adhere to all of BMC’s RESPECT behavioral standards.
- Bachelor’s degree or equivalent combination of education and experience.
- At least three years minimum experience in a similar office setting.
- Previous supervisory experience strongly preferred.
- Strong organizational, interpersonal and communication skills.
- Leadership ability to guide, direct, and mentor staff.
- Effective professional communication.
- Strong computer proficiency with Microsoft Office applications—Word, Access, Excel, PowerPoint;
Email;
Web/Internet. - Ability and willingness to become proficient with other applications including Kronos and Workday.
- Flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as with outside clients and vendors.
$54,500.00 – $76,500.00. This range is based on the minimum job qualifications.…
