Aboutthe role
Provide support and clerical expertise to Engineering Department and respond to inquiries and problems in an efficient, courteous and professional manner to achieve maximum customer satisfaction while complying with all Four Seasons' policies.
What you will do- Perform administrative skills such as typing, filing, copying, faxing and answering telephones according to Four Seasons standards.
- Communicate to Engineers on duty and keep a log of all details pertaining to guest calls regarding maintenance of rooms and equipment in rooms or public area in a timely manner.
- Handle the calendars for the Dir of Engineering and Asst. Dir of Engineering for appointments with contractors and vendors.
- Assist Dir of Engineering with purchase order system.
- Maintain a clean, neat and organized work area.
- Maintain regular communication with Finance to confirm timely processing of vendor payments and prevent delays or service disruptions.
- Oversee daily HotSOS activity to ensure all work orders are logged, prioritized, and completed efficiently in alignment with operational standards.
- High school diploma or equivalent.
- 1‑2 years of administrative or coordinating experience, ideally within Engineering, Facilities, or a hotel operations environment.
- Strong proficiency in HotSOS, Microsoft Office (Excel, Word, Outlook), and work‑order management systems.
- Excellent organization and time‑management skills with the ability to prioritize tasks in a fast‑paced environment.
- Strong communication skills, both verbal and written, with the ability to work effectively with engineering staff, vendors, and other departments.
- Proven ability to maintain accurate records, logs, inventories, and compliance‑related documentation.
