Position: Front Desk Receptionist / Office Assistant - Miami, FL

Position Overview

Busy general contractor office seeking a professional, organized, and friendly Front Desk Receptionist / Office Assistant to help manage daily office operations and create a welcoming environment for clients, vendors, subcontractors, and staff. This is a great opportunity for someone starting their administrative career and looking to gain experience in the construction and administrative field.

Key Responsibilities
  • Greet and assist clients, vendors, subcontractors, and visitors
  • Answer and direct incoming phone calls professionally
  • Manage incoming and outgoing mail, packages, and deliveries
  • Maintain a clean, organized, and professional front office area
  • Help ensure the office runs smoothly on a daily basis
  • Coordinate and handle general office issues and maintenance needs
  • Manage office supplies, equipment, and vendor/service appointments
  • Assist with keeping office systems, schedules, and daily operations organized
  • Schedule appointments and coordinate meetings
  • Assist with filing, scanning, data entry, and office organization
  • Support project managers and office staff with administrative tasks
  • Handle basic Quick Books or invoice entry support (preferred)
  • Assist with social media or marketing tasks if needed
Qualifications
  • Previous front desk, receptionist, or administrative experience preferred
  • Experience in a construction or general contractor office is a plus
  • Professional appearance and positive attitude
  • Strong verbal and written communication skills
  • Excellent customer service skills
  • Organized, detail-oriented, and dependable
  • Ability to multitask and work independently
  • Proficient in:
    • Microsoft Office (Word, Excel, Outlook) o Quick Books (preferred)
    • Procore or construction software experience is a plus
