We are seeking an exceptional Senior Executive Assistant to serve as the right hand and shadow to a high-profile principal in Miami Beach. The Principal is one half of an entrepreneurial husband-and-wife team overseeing multiple operating businesses, philanthropic commitments, a large family, and an active social and travel calendar.
Before You ApplyWe want to be direct, so you fully understand what you are stepping into.
- Six days a week. Sundays are part of the rotation, not a day off.
- 24/7 availability. Most evenings are quiet. Some are not. Your phone is on.
- Travel — approximately two months per year, domestic and international. Some trips are planned weeks out. Some are not.
- On Sundays, one assistant covers everything. When it is your Sunday, you handle whatever the family needs — including tasks that on a Tuesday would belong to the Personal Assistant. No lane-protection.
- The standard is high and consistent. The Principal's calendar, inbox, and priorities are mission-critical. Errors are not acceptable; follow-through is not optional.
- Accompany the Principal to meetings, appointments, and engagements as her on-site support.
- Manage her phone and inbox in real time; capture verbal instructions immediately and convert them into tracked action items.
- Anticipate what she needs before she asks — briefings, materials, context, logistics.
- Keep her on schedule without her having to think about it.
- Drive her when the household driver is unavailable (clean driving record required).
- Own the Principal's calendar across business and personal commitments — proactively managing conflicts, holds, and changes.
- Manage email across platforms: flag, respond, draft, organize, and follow through.
- Deliver a daily briefing covering the day's priorities and open items.
- Ensure nothing goes unanswered or falls through the cracks.
- Prepare materials for meetings, board engagements, and presentations.
- Attend meetings: take notes, track action items, drive follow-through.
- Coordinate with multiple operating businesses on scheduling, reporting, and administrative needs.
- Support board and philanthropic commitments with preparation and logistics.
- Manage all travel end-to-end: aviation, accommodations, ground transport, detailed itineraries.
- Travel with the Principal as needed — approximately two months per year, domestic and international.
- Coordinate family travel logistics with household staff.
- Serve as the principal's single point of contact and delegate accordingly to the Personal Assistant, House Manager, and household staff.
- Ensure seamless coverage and follow-through across all domains.
- Reconcile credit card charges and manage expense tracking.
- Flag discrepancies promptly; coordinate with vendors on invoices.
Someone who has spent years at the right hand of a demanding principal and genuinely thrived there. You are comfortable in boardrooms and in cars. You have thick skin — feedback is direct and fast in this environment, and you don't need to be managed. You are a go‑getter — nobody chases you for updates, because you give them before they're asked for.
You are solutions‑oriented — you bring answers, not problems. You are discreet, polished, calm under pressure, and deeply reliable.
