We are hiring a Financial Operations Coordinator and an Executive Assistant for an in-person role in Miami Beach.

This position supports a private family office with interests in real estate and wellness businesses. The primary responsibility of the role is maintaining accurate financial records and bookkeeping across multiple entities, while also supporting operational coordination and vendor management.

We are looking for a highly organized, trustworthy, and detail-oriented professional with strong bookkeeping skills, hands‑on experience with Quick Books Online, and the ability to keep financial and operational systems running smoothly.

Primary Responsibilities
  • Maintain and reconcile Quick Books records
  • Track and categorize income and expenses
  • Prepare monthly profit and loss reports
  • Keep financial records organized and ready for the CPA
  • Monitor spending across multiple entities
Vendor and Operations Coordination
  • Coordinate with vendors, contractors, and service providers
  • Review invoices and ensure payments are accurate
  • Negotiate pricing and service terms when appropriate
  • Track vendor expenses and help control costs
  • Maintain organized records of vendor agreements and payments
Administrative and Operational Support
  • Assist with scheduling and calendar coordination
  • Help organize invoices, documents, and internal records
  • Support operational tasks such as logistics, shipping, or packaging when needed
  • Assist with day‑to‑day administrative coordination
Qualifications
  • Strong bookkeeping and accounting knowledge
  • Quick Books Online experience required
  • Highly organized with strong attention to detail
  • Comfortable working across multiple entities
  • High discretion and professionalism
  • In‑person availability in Miami Beach
