OverviewJob Title:
Front Desk Supervisor
- Demonstrates excellent customer service, communication and time management skills.
- Ensure that the telephone is answered properly and messages are handled courteously, accurately and in a timely manner.
- Maintain, update and coordinate resident information in computer database on a regular basis.
- Maintain the supply closet; request office supplies and equipment following established purchasing procedures.
- Create files and coordinate all necessary information and documentation for new owners/leases.
- Coordinate receipt of closing statements or warranty deeds and update records; liaise with corporate A/R to change name and address for maintenance coupons.
- Archive expired tenants, guests and employees as needed.
- Provide information by answering questions and requests from residents and guests.
- Update staff information in the system.
- Scan and upload guest requests into the system; file guest, vehicle and staff requests.
- Register vehicles, bicycles, and scooters to the appropriate resident; update vehicle decals and transponders as needed.
- Communicate with Security, valet and manager on duty when a vehicle is arriving or being picked up by a third party.
- Work with security to ensure all transponders are functioning; coordinate replacements as needed for smooth property access.
- Register guests for residents and ensure accurate input into the system.
- Keep the front gate list updated with incoming guests per resident requests.
- Follow up with residents to ensure requests are processed promptly; resolve and follow up on complaints/issues.
- Generate weekly reports for rentals, guests and weekly sales and resales.
- Open and distribute mail and packages; communicate issues to appropriate staff.
- Follow safety procedures and maintain a safe work environment.
- Demonstrate knowledge of social media platforms as applicable to role.
- Requires a high school diploma or GED; bachelor’s or associate degree preferred.
- 1–3 years of directly related clerical or administrative support experience required; HOA, property management or condominium management experience is a plus.
- Proficient in MS Office 2007 or later (especially Excel and Word); ability to adapt to company management software.
- Ability to interpret and follow verbal and written instructions; strong written and verbal communication skills.
- Knowledge of business correspondence including grammar, punctuation, and spelling.
- Interpersonal skills to interface with all levels of personnel and work in a team environment.
- Demonstrated ability to maintain confidentiality and exercise discretion in daily activities.
- Ability to perform diversified but semi-repetitive operations following standardized methods under changing conditions.
