Accounts Receivable & Accounting Coordinator

Description

We are looking for a motivated and detail-driven Accounts Receivable & Accounting Coordinator to support receivables operations while partnering closely with the Director of Finance on key accounting functions. This role blends customer-facing A/R responsibilities with core accounting support, including reconciliations, cash activity, and financial reporting.

This position is well suited for someone who enjoys working with numbers, values accuracy, and is eager to contribute to process efficiency within a growing finance team.

Key Responsibilities

+ Manage assigned accounts receivable portfolio, including aging review, collections follow-up, and customer communications

+ Post and apply customer payments across multiple payment methods (ACH, wire, checks, credit cards)

+ Prepare daily cash activity reports and support cash tracking

+ Generate and distribute customer account statements and payment confirmations

+ Maintain and update customer pricing and account data

+ Calculate and track rebates, incentives, and distributor commissions

+ Assist with bank and line of credit reconciliations

+ Support monthly close activities and perform assigned balance sheet reconciliations

+ Maintain accurate general ledger entries and supporting schedules

+ Assist with cash forecasting and cash management preparation

+ Ensure documentation supports internal controls and audit requirements

+ Organize and maintain accounting records and financial files

+ Identify opportunities to streamline processes and improve workflows

+ Provide support on special accounting and finance projects as needed

Requirements

4-6 years of experience in accounts receivable, accounting, or general bookkeeping

Working knowledge of accounting fundamentals and financial processes

Experience supporting reconciliations and cash-related activities preferred

Proficiency with accounting systems such as Quick Books, Net Suite, Sage, or similar

Strong Excel skills, including data lookups and pivot reporting

Fluent in English and Spanish (client communication required)

Strong attention to detail and a high level of accuracy

Ability to prioritize tasks and meet deadlines in a dynamic environment
