Reporting to the Director of Operations, this position is responsible for performing a variety of bookkeeping duties including financial record keeping and transactions including accounts payable, accounts receivable, monthly billing and General Ledger.
Desired individual will have extensive experience with Quick Books working in the nonprofit setting, an outgoing and friendly personality, demonstrated professionalism and tact in communications with a diversity of individuals, strong organizational and time management skills, acute attention to detail and ability to work well with Girl Power's Management Team and Board of Directors.
Duties and Responsibilities- Reconcile all bank accounts, payroll, and journal entries.
- Prepare and record invoices and journal entries for prepaid expense, deferred revenue, and payroll cash accounts in the Quick Books System.
- Process, record and pay all invoices timely once approved.
- Process approved payroll activities in Quick Books and utilize ADP Payroll System to complete process.
- Perform annual 1099 reporting process for vendors.
- Manage time tracking process for employees with hours billable to grants, utilizing online time tracking tool, and extract data to make appropriate payroll entries for financial and grant reporting.
- Prepare and record monthly, quarterly, and annual reimbursements for all funders. (Director of Operations will provide training and coaching to accomplish duties).
- Coordinate with CPA and Auditors in preparation of year‑end audit.
- Support Director of Operations and CEO in development and analysis of annual organization budget.
- Maintain accounting policy and procedures systems of internal controls to ensure the integrity of all financial systems.
- Attend meetings as required (may include staff, management, committee, finance and/or board meetings).
- Other duties as assigned.
- Proficiency in Quick Books online a must.
- Nonprofit financial experience a must.
- Associate degree plus 3 to 5 years related experience.
- Additional proficiencies in Excel and database management.
- Excellent verbal and written communication skills.
- Strong organizational, problem‑solving, and analytical skills: ability to manage priorities and workflow.
- Ability to work effectively with a culturally diverse staff at all organizational levels.
- Knowledge of adversities facing at‑promise youth, with a knowledge and/or passion for working with at‑promise girls.
- Understanding of and commitment to Girl Power’s mission and success.
- As a small organization operating in a very dynamic environment, a significant amount of flexibility and teamwork is required.
- 20 hours per week with flexible schedule.
- Some evenings and weekends may be required.
