A company is seeking an experienced Finance Manager with a background in construction accounting to lead the company's day-to-day accounting and financial operations. The ideal candidate will be responsible for maintaining accurate accounting records in Quick Books, managing accounts payable and receivable, preparing financial reports, and overseeing vendor relationships. This individual will serve as the primary finance professional for the business, working closely with the Controller and CFO while coordinating the work of the outsourced accounting team.
This is a hands-on role within a fast-paced, growing organization.
- Maintain the company's full set of books in Quick Books.
- Accounts Receivable:
Create and track invoices, manage collections - Manage the full accounts payable (AP) cycle, including invoice review, coding, processing, payment preparation, and vendor payment reconciliation.
- Administer vendor onboarding by collecting required documentation, including W-9 forms, insurance certificates, payment instructions, and banking information, while maintaining accurate vendor records.
- Prepare year-end 1099 documentation, ensure compliance with IRS requirements, and file 1099s within statutory deadlines.
- Monitor and maintain integrations, investigate sync errors, and ensure data accuracy between systems.
- Reconcile bank accounts, corporate credit card accounts, and investigate and resolve accounting discrepancies.
- Review payroll hours and payroll reports, verify employee time allocations, and allocate payroll expenses across multiple projects.
- Liaise with vendors, respond to inquiries, and resolve discrepancies
- Record journal entries and support month-end and year-end closing activities.
- Process checks deposits, maintains deposit records, and communicates deposit confirmations to relevant stakeholders.
- Maintain and reconcile general ledger accounts
- Prepare weekly payment reports, funding reports, monthly financial reports (P&L, Balance Sheet, Cash Flow and Budgets etc.)
- Ensure timely filing of sales tax and other compliance-related items
- Provide accurate financial data for internal and external reporting
- Generate ad hoc financial and operational reports to support management decision-making.
- Identify opportunities to improve accounting processes, internal controls, and operational efficiency.
- Coordinate and review work performed by the outsourced accounting team.
- Serve as the primary finance contact for and support the company and support the Controller and CFO with financial analysis and special projects.
- 3+ years of accounting experience, preferably in the construction industry or construction accounting.
- Strong command of Quick Books (2+ years required) and advance MS Excel
- Excellent attention to detail and strong organizational skills
- Strong communication and interpersonal skills for dealing with vendors and customers
- Bachelor's degree in accounting, Finance, or related field preferred
- Bilingual (English / Spanish) a plus
