What You’ll Do

As our Construction Office Administrator, you’ll be a key resource for the Construction team, helping connect the financial, administrative, and operational sides of our projects.

Project Financial Management: Set up new projects in Yardi, maintain accurate job-cost records, monitor budgets and commitments, prepare monthly project cost reports, identify variances, support forecasting, and assist with cost-to-complete analysis.

Billing & Project Accounting: Review contractor progress billings and AIA G702/G703 payment applications, confirm billings against contracts and change orders, manage retainage, and help ensure subcontractor and vendor invoices are accurately coded and processed.

Compliance & Documentation: Review subcontractor documentation such as insurance certificates, lien waivers, and W-9s; maintain executed contracts and change orders; and assist with construction-related internal and external audits.

Reporting &

Collaboration:

Work closely with project managers, operations, accounting, and leadership to provide financial updates and variance analysis, improve cost controls, support month- and year-end closing, and maintain the 12-month rolling cash-flow projection.

What You Bring

We’re looking for someone who combines construction knowledge, financial aptitude, organization, and follow-through
.

You’ll be a strong candidate if you have:

  • 3+ years of administrative experience in construction, project accounting, or closely related work within the construction industry.
  • An Associate’s or Bachelor’s degree in accounting, finance, construction management, or a related discipline is preferred.
  • Experience with construction accounting/project-management software such as Yardi, Sage 300 CRE, Viewpoint Vista, Procore, or CMiC
    .
  • Strong Microsoft Excel skills and experience working with cost tracking and financial reporting.
  • Familiarity with AIA G702/G703 billing, contracts, change orders, and retainage
    .
  • An understanding of job-cost accounting, GAAP, and WIP reporting
    .
  • Strong analytical, organizational, communication, and problem-solving skills.
  • The ability to manage competing priorities and deadlines while maintaining accuracy and attention to detail.
  • The confidence to work independently while collaborating effectively across project, operations, and accounting teams.
