AP Specialist

Description

Our firm is seeking a detail-oriented Accounts Payable Specialist to support daily accounting operations and ensure accurate, timely processing of vendor invoices and payments. The ideal candidate will have strong organizational skills, excellent attention to detail, and experience working with accounting systems or ERP platforms in a fast-paced environment.

Key Responsibilities

+ Process high-volume vendor invoices accurately and efficiently.

+ Review invoices for proper coding, approvals, purchase orders, and supporting documentation.

+ Perform three-way matching between purchase orders, receipts, and invoices.

+ Enter invoices and payment information into the accounting system or ERP.

+ Prepare and process checks, ACH payments, wires, and other payment methods.

+ Reconcile vendor statements and resolve discrepancies.

+ Maintain accurate vendor records, including W-9s and payment information.

+ Respond to vendor inquiries regarding invoices, payments, and account balances.

+ Assist with weekly and monthly payment runs.

+ Support month-end and year-end closing activities.

+ Reconcile accounts payable subledger balances to the general ledger.

+ Assist with 1099 reporting, audits, and documentation requests.

+ Maintain organized AP files and ensure compliance with company policies and internal controls.

+ Identify opportunities to improve AP processes and payment efficiency.

Requirements

Required Qualifications

+ 2-5+ years of accounts payable experience in a corporate or high-volume environment.

+ Strong understanding of the full accounts payable cycle.

+

Experience with invoice processing, vendor reconciliations, payment preparation, and account coding.

+ Knowledge of general ledger accounts, debits and credits, and basic accounting principles.

+ Proficiency with Microsoft Excel, including sorting, filtering, and basic formulas.

+ Experience using accounting software or ERP systems, such as:

+ Net Suite

+ SAP

+ Oracle

+ Microsoft Dynamics 365

+ Sage

+ Quick Books

+ Great Plains

+ Other comparable accounting platforms

+ Strong attention to detail and accuracy.

+ Ability to meet deadlines while managing multiple priorities.

+ Excellent communication, problem-solving, and organizational skills.

+ Ability to maintain confidentiality when handling financial and vendor information.

Preferred Qualifications

+

Experience with three-way matching and purchase order-based invoice processing.

+ Experience processing ACH, wire transfers, and electronic payments.

+ Knowledge of 1099 preparation and vendor compliance.

+ Experience supporting multi-entity or multi-location accounting operations.

+ Familiarity with expense management or accounts payable automation platforms.

+ Associate's or bachelor's degree in accounting, finance, or a related field.

+ Bilingual English/Spanish skills are a plus.
