Accounts Payable Specialist

Our firm is seeking a detail-oriented Accounts Payable Specialist to support daily accounting operations and ensure accurate, timely processing of vendor invoices and payments. The ideal candidate will have strong organizational skills, excellent attention to detail, and experience working with accounting systems or ERP platforms in a fast-paced environment.

Key Responsibilities

• Process high-volume vendor invoices accurately and efficiently.
• Review invoices for proper coding, approvals, purchase orders, and supporting documentation.
• Perform three-way matching between purchase orders, receipts, and invoices.
• Enter invoices and payment information into the accounting system or ERP.
• Prepare and process checks, ACH payments, wires, and other payment methods.
• Reconcile vendor statements and resolve discrepancies.
• Maintain accurate vendor records, including W-9s and payment information.
• Respond to vendor inquiries regarding invoices, payments, and account balances.
• Assist with weekly and monthly payment runs.
• Support month-end and year-end closing activities.
• Reconcile accounts payable subledger balances to the general ledger.
• Assist with 1099 reporting, audits, and documentation requests.
• Maintain organized AP files and ensure compliance with company policies and internal controls.
• Identify opportunities to improve AP processes and payment efficiency.
