We’re looking for a highly organized, proactive Executive Assistant to support the CEO and help keep the company running smoothly day to day. This is an on-site role and a critical position in an early-stage company, where trust, discretion, and execution matter.
You’ll act as a central point of coordination for the CEO — managing schedules, handling logistics, tracking priorities, and ensuring nothing important slips through the cracks. While this is a classic EA role at its core, it’s ideal for someone who enjoys variety, ownership, and being close to decision-making in a fast-moving environment.
What You’ll Do Executive Support- Manage the CEO’s calendar, scheduling meetings, calls, and in-person commitments with precision and foresight.
- Coordinate travel arrangements, itineraries, and logistics for business-related trips.
- Draft and send emails, meeting follow-ups, and basic communications on behalf of the CEO when needed.
- Track action items, reminders, and open loops to ensure timely follow-through.
- Serve as the on-site point person for day-to-day office needs and coordination.
- Prepare meeting agendas, take notes when needed, and track next steps.
- Help organize internal documents, files, and shared tools (e.g., Google Drive).
- Coordinate with vendors, service providers, and partners as needed.
- Help the CEO stay focused by organizing priorities, flagging conflicts, and anticipating upcoming needs.
- Handle administrative and logistical tasks that free up executive time and energy.
- Assist with light personal or executive-adjacent tasks that directly support the CEO’s ability to work effectively.
- Act as a professional, discreet point of contact between the CEO and internal/external stakeholders.
- Ensure information is communicated clearly and consistently across meetings and follow-ups.
- Maintain confidentiality and sound judgment at all times.
- Exceptionally organized and detail-oriented. You manage multiple moving parts without things falling through the cracks.
- Clear communicator. You write concise emails, take clean notes, and know how to summarize next steps.
- Reliable and proactive. You don’t wait to be told twice and take pride in being dependable.
- Discreet and trustworthy. You handle sensitive information with care and professionalism.
- Calm and adaptable. You’re comfortable in a fast-paced, sometimes ambiguous environment.
- 2–5+ years of experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior leadership.
- Experience working on-site in an office environment.
- Strong working knowledge of Google Workspace (Calendar, Docs, Sheets) and comfort learning new tools.
- Startup or small-team experience is a plus, but not required.
Bonus points for:
- Experience supporting a founder or C-level executive.
- Interest in technology, consumer products, or wellness/relationships.
- Strong instincts for prioritization and anticipating needs.
- The CEO’s calendar is organized, intentional, and well-managed.
- Meetings are prepared, follow-ups are clear, and action items are tracked.
- Day-to-day logistics run smoothly without constant escalation.
- The CEO feels supported, informed, and able to focus on high-impact work.
If you’re excited about supporting a founder, enjoy being the organizational backbone of a growing company, and want to be part of building something meaningful from the ground up, we’d love to hear from you.
