The Onboarding Assistant will be responsible for providing newly recruited investment professionals with a positive, helpful, and seamless onboarding experience.

Job Responsibilities /Main Functions
  • Provide administrative support for the onboarding of new clients, including Financial Advisors (FAs), Foreign Registered Investment Advisors (FRIAs), and Registered Investment Advisors (RIAs).
  • Coordinate and track onboarding documentation, ensuring all required forms, contracts, and materials are completed, organized, and submitted accurately.
  • Assist in organizing and coordinating “Day at Insigneo” events, including scheduling, logistics, and preparation of materials.
  • Prepare and maintain prospecting documentation and assist with the preparation of formal contracts for new clients.
  • Liaise with internal teams such as IT, Business Intelligence, Compliance, and Operations to support a smooth and timely onboarding process.
  • Track required training programs for new clients and follow up to confirm completion.
  • Support the Onboarding Manager and Market Heads across multiple regions (United States, Chile, Argentina, Uruguay, etc.) by coordinating prospecting materials and onboarding documentation.
  • Maintain onboarding trackers, status reports, and internal records to ensure visibility and compliance.
  • Provide general administrative and coordination support for sales and onboarding‑related initiatives and projects, as needed.
  • Perform other administrative duties as assigned.
Job Requirements (Education, Experience, Skills, and Capabilities)
  • Bachelor’s degree in business administration or related field.
  • Two (2) years of work-related experience.
  • Strong ability to provide administrative support, with a client service focus and a commitment to respond requests promptly.
  • Strong analytical skills with high attention to detail and accuracy.
  • Strong organizational and time management skills, with the ability to prioritize effectively.
  • Excellent written and verbal communication skills.
  • Customer service-oriented attitude, a team player, and proactive.
  • Ability to work effectively under pressure and meet deadlines on time-bound projects.
