We’re looking for an Office Manager & Administrative Assistant to oversee the administrative excellence of all office procedures and provide support to executive leadership.
The ideal candidate had exemplary attention to detail and time management skills, as well as the ability to identify and anticipate business needs. This role must interact with a professional demeanor across a broad range of individuals, including the leadership team, staff, and service providers.
Responsibilities include- Provide high-level administrative support and assistance to executive leadership, including calendar management, travel coordination, and other administrative tasks.
- Ensure office efficiency by maintaining the appearance of common areas, organizing procedures, handling correspondence, managing filing systems, and overseeing office equipment.
- Support with meeting logistics, including scheduling, sending reminders, printing and organizing documents, ordering catering, etc.
- Manage business relationships with office vendors, service providers, and building management.
- Support planning and logistics of special events.
- Assist team members with office-related issues.
- Answer and direct phone calls, greet visitors, and provide general support.
- Manage all aspects of office space/infrastructure planning, including workstation changes, moves, and related tasks.
- Perform clerical and administrative tasks.
- At least four years of related experience is required.
- Excellent verbal and written communication skills - in English and in Spanish
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to thrive in a high-paced environment.
- Sound judgment with the ability to prioritize and handle highly sensitive and confidential information with professionalism and discretion.
- Excellent interpersonal and customer service skills. Capable of cultivating productive working relationships across the firm.
- Ability to learn new or updated software.
- High school diploma required;
Bachelor's degree in Business Administration or related field preferred.
