Position SummaryThe Front Office / Office Services Administrator & Receptionist serves as the primary face of the office, delivering high-touch, professional experience for clients, visitors, and employees. This role balances front-of-house hospitality with administrative, office services, and mailroom support, ensuring seamless daily operations and consistently elevated client experience.
Key Responsibilities Front Office & Client Experience- Serve as the first point of contact for clients, visitors, executives, and vendors
- Provide a warm, polished, and professional welcome experience aligned with corporate standards
- Manage visitor registration, guest badges, and access protocols with discretion
- Answer, screen, and route incoming calls and inquiries professionally
- Anticipate client and executive needs and respond with urgency and professionalism
- Maintain a pristine, client-ready reception and front-office environment always
- Support executives and client-facing teams with scheduling and coordination
- Assist with client meetings, including room setup, technology readiness, and hospitality services
- Coordinate catering, refreshments, and special requests for meetings and events
- Serve as a point of contact for client inquiries related to office operations
- Receive, sort, log, and distribute incoming mail and packages promptly
- Process outgoing mail, overnight shipments, and courier requests with attention to deadlines
- Track and reconcile shipments using internal systems and carrier platforms
- Coordinate courier pickups and deliveries (Fed Ex, UPS, USPS, local couriers)
- Maintain mailroom logs, delivery confirmations, and service metrics
- Escalate shipment issues or time-sensitive deliveries to management
- Support daily office operations and front-of-house service standards
- Submit and track service requests for facilities, IT, and building management
- Monitor office supply inventory and ensure front-office areas are well stocked
- Support onboarding and offboarding processes (badges, access, workspace readiness)
- Represent the organization with professionalism, discretion, and confidence
- Communicate clearly with internal teams, clients, vendors, and building partners
- Maintain confidentiality when handling sensitive client or business information
- Escalate operational concerns proactively to ensure service continuity
- 2+ years of experience in front-desk, client-facing, office services, or hospitality role
- Exceptional customer service and interpersonal skills
- Strong verbal and written communication skills
- Professional presence, demeanor, and appearance
- Ability to multitask and remain composed in a high-visibility environment
- Proficiency in Microsoft Office (Outlook, Word, Excel, Teams)
- Ability to lift and carry packages (typically up to 30 lbs.)
- Experience in executive reception, corporate hospitality, or professional services environments
- Mailroom or shipping/receiving experience in a corporate setting
- Familiarity with visitor management systems and shipping platforms
- Onsite, high-visibility front-office environment
- Combination of client-facing reception and operational support
