We are seeking an Executive Assistant to join the Finance & Administration team at our US office.
About the JobProvide high-level personal and administrative support to the Chairman to ensure efficient management of personal affairs, financial operations, and household logistics across multiple jurisdictions.
Specific Responsabilities- Manage domestic and international wire transfers, tax payments, and vendor disbursements to ensure timely execution of personal and financial obligations.
- Coordinate with banks, accountants, and legal entities to support account management, audits, POA documentation, and regulatory compliance.
- Oversee regular household payments and services, to ensure property upkeep and vendor satisfaction.
- Organize and manage personal logistics, to maintain compliance and uninterrupted services.
- Support connectivity and tech infrastructure by purchasing, activating, and troubleshooting devices and services in coordination with IT and local providers.
- Manage personal purchases, donation payments, and reservations to ensure timely fulfillment of the requests and support the smooth coordination of personal affairs.
- Handle sensitive document logistics and courier dispatches, ensuring secure and timely delivery of critical items across locations.
- Conduct detailed research and coordinate special tasks or purchases to resolve personal and logistical challenges efficiently, ensuring a high level of confidentiality.
- Provide ongoing, flexible support with a constant readiness to respond to urgent or time-sensitive matters, successfully adhering to a dynamic schedule and evolving priorities.
- Liaise with service providers and authorities, to ensure proper filings, renewals, and compliance.
- University degree in Business Administration, Communications, or related field preferred.
- Minimum of 5 years of experience in a high-level personal or executive assistant role.
- Experience managing confidential information.
