The Herbert Wertheim College of Medicine is currently seeking an Office Associate to join our team of professionals.
Responsibilities- Provides administrative support for the medical simulation center and Clinical Skills courses, including confirming faculty sessions, coordinating IT needs, preparing agendas, meeting notices, and materials.
- Provides support to the medical simulation center in preparing necessary materials and logistics. Supports the leadership team with assigned relevant tasks and programs, including tours, simulations, virtual sessions, and other special events hosted by the department.
- Assists in updating course materials. Prepares and maintains picture sheets, door signs, and faculty folders. Collects and sorts all event signs, supplies and materials.
- Performs basic data entry, such as tracking student absences, missing assignments, and other student issues. Assists with CANVAS page updates and announcements.
- Communicates with and responds to student and faculty inquiries, as needed.
- Assists with submitting documents for travel authorizations.
- Organizes and maintains confidential files, databases, and records for Clinical Skills and the Simulation Center.
- Maintains inventory of office supplies and restocks necessary equipment, as needed. Assists ordering course materials, books, office supplies and catering request.
- Performs related duties as required or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
High school diploma or GED and two (2) years of office or related experience; OR an equivalent combination of relevant education and/or experience.
