We are currently seeking an experienced Scheduling Coordinator to join our Miami office
. This is a fast-paced, on-site position requiring prior legal scheduling experience.

Position Summary

The Scheduling Coordinator provides comprehensive administrative and litigation support to attorneys and legal teams. This role is responsible for managing attorney calendars, coordinating court events, depositions, mediations, and hearings, and ensuring all scheduling matters are handled accurately, efficiently, and in compliance with court rules and internal procedures.

This position plays a key role in keeping matters progressing smoothly by maintaining precise calendars, resolving conflicts, coordinating with courts and third parties, and preparing attorneys for upcoming scheduled events.

Responsibilities
  • Coordinate and manage attorney schedules, including court hearings, depositions, mediations, meetings, and conferences
  • Schedule court hearings and appearances using CourtMAP and other applicable online court scheduling systems
  • Coordinate directly with Judicial Assistants (JAs) to secure and confirm hearing dates and court availability
  • Schedule depositions with opposing counsel and coordinate court reporters, videographers, interpreters
    , and other vendors
  • Prepare, arrange for service of, and track subpoenas for depositions
    , including follow-up and confirmation of service
  • Maintain and accurately manage attorney calendars and case deadlines
  • Prepare attorneys and clients in advance for all scheduled court events
  • Resolve scheduling conflicts and identify alternative dates when rescheduling is required
  • Communicate professionally with courts, Judicial Assistants, court reporters, clients, opposing counsel, vendors, and internal teams
  • Assist with court filings and ensure accurate calendaring of deadlines and hearings
  • Maintain knowledge of court procedures, including electronic filing (e-filing) and electronic service (e-service)
  • Support case progression through accurate scheduling, documentation, and follow-up
  • Any other tasks assigned by management
Qualifications
  • Minimum of 2 years of legal experience
    , preferably in a high-volume law firm environment
  • Prior legal scheduling experience is required (this is not an entry-level role)
  • Hands-on experience with CourtMAP and/or other online court scheduling platforms strongly preferred
  • Strong knowledge of court systems, scheduling procedures, subpoena processes, and coordination with Judicial Assistants
  • Proficiency with state and federal e-filing systems
  • Excellent organizational, calendaring, and time-management skills
  • Ability to manage multiple attorneys’ calendars and competing deadlines
  • Strong attention to detail and follow-through
  • Professional written and verbal communication skills

    Ability to work efficiently in a fast-paced, on-site environment
