We are looking for a highly organized Office Manager with legal experience to oversee daily firm operations, manage administrative staff, handle personal/executive support for the attorney, and provide hands‑on assistance on the legal/case management side. This hybrid role combines office leadership with case oversight in a growing personal injury plaintiff firm, ensuring smooth workflows, client satisfaction, and operational efficiency.
Key Responsibilities- Oversee day‑to‑day office operations: scheduling, supplies, vendor coordination, facilities maintenance, and technology/IT needs.
- Supervise administrative/legal support staff (e.g., intake coordinators, receptionists, assistants), assign tasks, monitor performance, and ensure compliance with firm policies.
- Act as Head Case Manager
:
Track case progress across the firm, monitor deadlines/calendars, elevate issues to attorneys, and assist with high‑level case coordination (e.g., client follow‑ups, medical appointment scheduling, demand prep support). - Provide direct legal assistance as needed:
Draft basic correspondence, organize files/records, prepare settlement packets, communicate with clients/insurers in English and Spanish, and support pre‑litigation tasks. - Handle attorney personal/executive support:
Manage calendar, travel, personal errands, confidential matters, and billing/collections oversight. - Manage firm finances basics:
Oversee billing, accounts receivable/payable, expense tracking, and client trust account reconciliation (with attorney oversight). - Serve as primary point of contact for clients, vendors, and staff; maintain professional, bilingual communication.
- Implement process improvements, ensure office security/confidentiality, and support firm growth initiatives.
- Minimum 3–5 years of experience in a legal office environment (e.g., prior role as case manager, legal assistant, paralegal, or office admin in PI or civil litigation).
- Fully bilingual in English and Spanish (fluent written and verbal; essential for client/staff interactions).
- Proven office management or supervisory experience, with strong organizational, multitasking, and problem‑solving skills.
- Proficiency in Microsoft Office (Excel/Word/Outlook), legal software (e.g., Clio, MyCase), and basic accounting tools.
- High level of discretion, professionalism, and client‑service orientation.
- Ability to handle confidential/personal matters with integrity.
- Paralegal certificate or prior hands‑on case management in personal injury (plaintiff side a plus).
- Experience with firm budgeting, HR basics, or marketing/client intake.
- Familiarity with Florida PI processes and court filings.
