Summary for Facilities & Operations Coordinator:
This position provides high-level operational and administrative support to the Senior Operations Manager, ensuring smooth day-to-day office functioning. The role coordinates across facilities, mailroom operations, digital production, guest services, and office logistics while supporting a fast-paced, professional environment.

Responsibilities for Facilities & Operations Coordinator:
- Support facilities operations by assisting with space planning, equipment coordination, vendor services, and general maintenance requests
- Liaise with building management and external vendors to coordinate repairs, service calls, and facilities-related issues, ensuring prompt resolution
- Coordinate daily mailroom operations, including sorting, distributing, and tracking incoming and outgoing mail and packages to ensure timely delivery
- Respond to and resolve internal service requests related to deliveries, mail, printing, scanning, and general office logistics in a timely and professional manner
- Operate and oversee digital production services, including high-volume printing, scanning, copying, binding, and document finishing while maintaining quality standards
- Assist with safety and emergency preparedness initiatives, including supporting drills, maintaining safety protocols, and coordinating training programs such as CPR/AED certification
- Provide front-facing customer service to attorneys, staff, clients, and visitors, ensuring a professional, welcoming, and responsive office environment
Requirements for Facilities & Operations Coordinator:
- 5+ years of experience in operations, facilities, office services, or a related professional environment
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with digital and document management systems
- Excellent organizational skills with the ability to manage multiple priorities in a fast-paced environment
- Strong interpersonal and communication skills with the ability to interact effectively across all levels of an organization
- Demonstrated commitment to delivering high-quality customer service and operational support
- Ability to work independently, take initiative, and maintain attention to detail under pressure
- Ability to perform light physical tasks, including lifting up to 10 pounds as need
