Seeking a polished, professional, and sharp Property Administrative Assistant to support a Class A office property management team. Commercial property experience is preferred but not required. The ideal candidate will come from a highly professional office environment, possess excellent communication skills, and demonstrate strong proficiency in Microsoft Office.

Key Responsibilities:

• Provide full administrative support including phone coverage, typing reports, filing, and distribution of correspondence

• Assist Property Managers with miscellaneous administrative tasks

• Schedule and coordinate meetings and special events

• Support lease administration activities, including tenant contacts and insurance documentation

• Generate reports and maintain accurate records

• Prepare and coordinate bid proposals, service contracts, and approved invoices

• Assist with vendor bidding processes and ensure compliance with company policies and procedures

• Prepare and code invoices for approval

• Maintain office supplies and general office organization

• Ensure accurate completion of contracts and certificates of insurance in contract administration software

• Track and maintain contracts, insurance certificates, and expiration follow-ups

• Monitor and maintain the property maintenance work order system

• Prepare monthly work order status reports for Property Managers

• Maintain purchase order systems, lease files, and contract files

• Build and maintain positive tenant and client relationships

• Assist with monthly and quarterly management reports and annual budget preparation

• Process staff hours, tenant bill-back invoices, expense reports, meter readings, and check requests for approval

Qualifications:

• Professional demeanor with excellent verbal and written communication skills

• Strong organizational and multitasking abilities

• Advanced proficiency in Microsoft Office Suite

• Ability to work in a fast-paced, professional office environment

• Commercial property management experience preferred, but not required
