Marketing Administrative Assistant

Location: Doral, FL 33182
Schedule: Monday - Friday, 9:00 AM - 6:00 PM
Employment Type: Temporary-to-Hire
Pay Range: $50,000 - $55,000 annually
Work Arrangement: 100% In-Office

Position Summary

The Marketing Administrative Assistant provides comprehensive administrative and operational support to the Marketing and Commercial teams. This role coordinates product samples, vendor communications, event support, inventory tracking, and cross-functional collaboration with Sales, CSR, and Production teams. The ideal candidate is highly organized, detail-oriented, bilingual (English/Spanish), and comfortable working in a fast-paced environment.

Key Responsibilities

Marketing & Commercial Support
  • Coordinate and ship brochures, product samples, and test materials
  • Support marketing events, including product distribution, vendor coordination, and budget tracking
  • Assist with payment processing and vendor invoice coordination
  • Provide point-of-sale (POS) material management and tracking
Cross-Functional Coordination
  • Serve as liaison between Marketing, Sales/Commercial, CSR, warehouse, and production teams
  • Coordinate product replacements and refunds with CSR team
  • Communicate with vendors regarding materials, timelines, and deliverables
Inventory & Administrative Support
  • Maintain inventory control of marketing materials and samples
  • Track shipments and manage related documentation
  • Manage email correspondence, systems updates, and general clerical duties
  • Prepare reports and presentations as needed
Qualifications
  • Minimum of 2 years of solid administrative support experience
  • Strong proficiency in Microsoft Office (Excel required; PowerPoint preferred)
  • Fully bilingual in English and Spanish (required)
  • Strong organizational skills with attention to detail
  • Ability to manage multiple priorities and deadlines
Compensation / Pay Rate (Up to): $23.00 - $26.00 Per Hour
