Key Responsibilities:
- Answer and screen phone calls, relay messages, and direct inquiries appropriately
- Welcome and assist visitors and customers with professionalism
- Schedule meetings, conference rooms, and travel arrangements
- Organize and maintain files, documents, and spreadsheets
- Merge documents for bulk mailings and manage all incoming/outgoing mail
- Keep kitchen, breakroom, and conference rooms clean and stocked
- Order and monitor office supplies
- Coordinate office events and maintain the facility space map
- Serve as the point of contact with building management
- Prepare and manage city license applications and related payments
- Assist with new customer onboarding processes
- Maintain appointment calendars and internal systems like Fenix and call logs
- Ensure adherence to office procedures and building security protocols
- Bilingual in English and Portuguese (required)
- Strong organizational and communication skills
- Comfortable working independently and in a team setting
- Proficiency with Microsoft Office and standard office technology
