Position: Executive Assistant to the CEO

Job Overview

We are seeking a highly organized, proactive, and tech‑savvy professional to serve as the Executive Assistant to our CEO. The ideal candidate will act as the central hub of the CEO's office, ensuring priorities stay on track, decisions move forward, and the CEO's time is spent on the highest‑impact activities.

The Executive Assistant will manage the day‑to‑day operations of the CEO’s desk, including inbox management, calendar oversight, meeting preparation, action‑item tracking, and stakeholder follow‑up. They will also leverage AI and emerging productivity tools to continually improve efficiency, communication, and workflow management. Success in this role requires exceptional judgment, discretion, attention to detail, and a bias toward action. The right person thrives in fast‑moving environments, anticipates needs before they arise, and enjoys bringing structure to complexity.

Key Responsibilities Executive Support & Prioritization
  • Manage the CEO’s inbox and communications across multiple time zones, triaging incoming messages, ensuring timely responses, and coordinating seamless follow‑up with internal and external stakeholders nationwide.
  • Maintain and optimize the CEO’s calendar, balancing internal priorities, external stakeholders, and strategic initiatives.
  • Coordinate and manage all travel logistics for the CEO, including flights, accommodations, ground transportation, and detailed itineraries for domestic and international travel.
  • Identify competing priorities and help the CEO focus on the highest‑value opportunities and decisions.
  • Prepare daily and weekly briefing materials to support effective decision‑making.
Weekly Planning & Execution Management
  • Lead a structured weekly “look back / look ahead” process with the CEO to review accomplishments, outstanding commitments, upcoming priorities, and slippage risks.
  • Maintain a centralized system for tracking priorities, decisions, action items, and commitments.
  • Ensure accountability by coordinating follow‑up with internal and external stakeholders.
  • Surface bottlenecks, deadlines, and unresolved issues before they become problems.
Meeting & Communication Management
  • Prepare agendas, briefing materials, and relevant context for key meetings.
  • Capture decisions, action items, and ownership during meetings as needed.
  • Draft and coordinate communications on behalf of the CEO.
  • Serve as a trusted point of contact for executives, board members, investors, partners, and employees.
AI & Productivity Systems
  • Continuously identify opportunities to improve how the CEO office operates through AI and automation.
  • Implement and maintain tools that streamline meeting preparation, note‑taking, action‑item tracking, scheduling, research, and communication workflows.
  • Use AI to help summarize information, surface priorities, draft communications, and reduce administrative burden.
  • Stay current on emerging productivity technologies and recommend practical applications that improve efficiency.
Project Coordination
  • Support special projects and cross‑functional initiatives led by the CEO.
  • Coordinate across departments to ensure priorities remain aligned and commitments are executed.
  • Maintain visibility into critical work streams and proactively communicate status updates.
Qualifications
  • 5+ years supporting a senior executive, founder, CEO, or C‑suite leader.
  • Exceptional organizational and project‑management skills.
  • Strong written and verbal communication abilities.
  • Demonstrated ability to manage sensitive and confidential information.
  • Experience working in high‑growth, startup, sports, media, entertainment, consumer, or technology environments preferred.
  • Strong proficiency with Google Workspace, Microsoft Office, and modern productivity platforms.
  • Curiosity and comfort with technology, AI, and automation tools, with a willingness to adopt and leverage them to improve workflows and execution.
