Position Overview

The Executive Administrator to the President of Pearlson & Pearlson serves as a trusted partner and central point of coordination for the President and the Shipyard Development team. This role extends beyond traditional administrative support, requiring a highly organized and proactive professional who can manage executive priorities, facilitate communication, and support complex development initiatives.

The ideal candidate thrives in a fast-paced environment, demonstrates strong judgment and discretion, and brings experience supporting senior leadership—preferably within major construction, maritime, or shipyard environments.

Key Responsibilities – Executive Support & Coordination
  • Manage the President’s calendar, priorities, and daily workflow with a high degree of accuracy and confidentiality.
  • Prepare and edit presentations, reports, correspondence, and executive briefing materials.
  • Serve as the primary liaison between the President and internal/external stakeholders, ensuring clear and timely communication.
  • Coordinate high-level meetings, including leadership and project meetings; develop agendas, track action items, and document outcomes.
  • Anticipate executive needs and proactively resolve scheduling, logistical, and operational challenges.
Shipyard Development Team Support
  • Provide administrative and coordination support to the Shipyard Development team across active projects and initiatives.
  • Assist in tracking project timelines, milestones, and deliverables to ensure alignment with strategic objectives.
  • Support preparation of project documentation, reports, and stakeholder updates.
  • Facilitate communication across internal teams, contractors, consultants, and partners involved in development efforts.
  • Help maintain organized project records and documentation systems.
Project & Operational Support
  • Assist with planning, coordination, and execution of strategic initiatives led by the President.
  • Support development and tracking of key metrics, reports, and dashboards to inform decision‑making.
  • Coordinate special projects and ensure timely follow‑up on deliverables and commitments.
  • Contribute to improving administrative and operational workflows to enhance team efficiency.
Professionalism & Representation
  • Maintain the highest level of professionalism, discretion, and confidentiality.
  • Represent the President and Pearlson & Pearlson with professionalism in all interactions.
  • Support a collaborative, organized, and high‑performance work environment.
Required Qualifications
  • 3–7 years of experience supporting senior executives or leadership teams.
  • Strong organizational, multitasking, and time‑management skills.
  • Excellent written and verbal communication skills.
  • High proficiency in Microsoft Office Suite, including Microsoft Project
    .
  • Ability to manage multiple priorities in a fast‑paced environment with attention to detail.
  • Demonstrated professionalism, integrity, and sound judgment.
  • Ability to travel both domestically and internationally (as needed).
Preferred Qualifications
  • Experience in major construction, infrastructure, maritime, or shipyard environments.
  • Experience supporting complex development or capital projects.
  • French language proficiency (preferred but not required).
  • Ability to work independently while maintaining strong collaboration with cross‑functional teams.
