Overview – Executive Legal Assistant / Administrative CoordinatorAn internationally respected law firm is actively seeking a sophisticated and resourceful Executive Legal Assistant / Administrative Coordinator to support senior attorneys and executive leadership within its Miami office. This pivotal role functions as a strategic administrative partner, handling high-level coordination across travel logistics, document management, client engagement support, and operational initiatives.

The position works closely with attorneys, business services teams, and global offices to maintain seamless workflows and deliver first-class internal and external support.
Key Responsibilities – Executive Legal Assistant / Administrative Coordinator- Deliver comprehensive executive and administrative support to attorneys and leadership teams in a deadline-driven legal environment
- Coordinate complex calendars, scheduling priorities, client meetings, and virtual conferences across multiple time zones
- Prepare, edit, and organize presentation materials, reports, meeting agendas, and legal documentation
- Maintain accurate attorney time entry records and oversee expense reimbursement submissions
- Assist with drafting engagement documentation, client intake materials, and matter-opening paperwork
- Facilitate conflicts check coordination and support compliance-related onboarding procedures
- Arrange domestic and international travel logistics, including visa applications, immigration-related documentation, and passport processing
- Liaise with departments firmwide to ensure quality assurance, workflow accuracy, and timely execution of assignments
- Provide support for business development activities, including tracking client outreach efforts and partnering with Marketing & BD teams
- Bachelor’s degree strongly preferred
- Minimum of 3 years of executive assistant or legal administrative experience within a law firm or professional services setting
- Exposure to immigration paperwork, visa coordination, or global travel documentation is highly desirable
- Advanced proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and Power Point
- Excellent verbal and written communication skills with strong attention to detail
- Ability to exercise discretion, professionalism, and confidentiality in handling sensitive information
- Proven ability to manage competing priorities and perform effectively in a collaborative team environment
