As we expand our operations, we are looking for a Administrative Assistant / Service Desk Coordinator to provide front-line support for our customers and ensure smooth communication between clients and technical teams.

Job Description

The Administrative Assistant / Service Desk Coordinator will serve as the first point of contact for clients and partners, handling incoming communications via phone, email, and chat. This role combines administrative support with customer service responsibilities
, including creating and tracking service requests, coordinating schedules, and providing timely updates to customers. The ideal candidate is organized, proactive, and has excellent communication skills, with the ability to handle multiple tasks in a fast-paced environment.

Responsibilities
  • Customer Communication & Support
    • Answer and manage incoming phone calls, emails, and chat messages.
    • Perform call-backs and follow-ups with clients regarding open issues or service requests.
    • Maintain a professional and customer-focused tone in all communications.
  • Service Desk & Ticket Management
    • Open, register, and assign service orders and support tickets using the company’s ticketing system.
    • Ensure all tickets are accurately documented with relevant details.
    • Monitor ticket progress and coordinate with technical teams for resolution.
    • Provide customers with regular updates on the status of their requests.
  • Administrative & Office Support
    • Assist in scheduling meetings, coordinating appointments, and managing calendars.
    • Prepare reports, maintain records, and ensure proper documentation of service desk activities.
    • Support the office with general administrative tasks such as filing, document organization, and internal communications.
    • Assist management with special projects and operational tasks when needed.
Required Qualifications
  • Previous experience in administrative assistance, customer service, or help desk support
    .
  • Excellent communication skills (written and verbal) with a customer-first mindset.
  • Strong organizational skills with the ability to multitask and prioritize effectively.

    Proficiency in office software (MS Office, Google Workspace) and willingness to learn new platforms.
  • Ability to remain calm and professional under pressure.
  • On-site availability at our Miami, FL office.
Preferred Qualifications
  • Experience with ticketing/help desk systems (Zendesk, Freshdesk, Jira, Service Now, etc.).
  • Bilingual (English/Spanish or English/Portuguese) is highly desirable.
  • Familiarity with IT or cybersecurity environments.
  • Knowledge of basic office management practices and customer service best practices.
