Job Description
The Related Group’s Affordable Division is seeking a Project Coordinator in Miami, FL to support sales and closing processes for new condominium developments.
Responsibilities- Review all deal sheets and contracts submitted by salespersons for new buyers, including commissions liability, deposits, and other pertinent information; prepare addendums as required.
- Produce weekly sales summaries and other reports for distribution.
- Maintain contract files and purchaser databases.
- Receive and track broker registrations, licenses, and maintain broker information files.
- Receive records and prepare deposits for submission to the escrow agent; prepare monthly escrow reconciliation with Project Accountant.
- Prepare and submit reports and backup documentation to the Project Accountant and Project Director (bi‑weekly/monthly) for commissions payments to both in‑house and outside brokers.
- Review all purchase agreements for accuracy and completeness; prepare deal sheet for submission to Project Director’s execution.
- Receive, record, and prepare deposits for submission to the escrow agent.
- Responsible for all buyer correspondence and calls.
- Assist Project Director with projects as needed.
- Communicate with buyers regarding impending closings, answer all incoming queries regarding closing requirements, and handle financial institution questions regarding needed closings information.
- Arrange times and dates for closings; set up times and dates for purchaser walk‑through in conjunction with the Customer Service Manager.
- Communicate with Attorney regarding outstanding closing issues.
- Maintain all contract files.
- Degree in Business Administration or Accounting.
- 3–5 years experience as contract administrator or closing coordinator.
- Experience in related fields.
