JOB SUMMARY

Aer Cap is seeking an Administrative Assistant for the Legal Leasing team. The Legal department provides strategic advice and counsel to Aer Cap's senior executives, board of directors, and stakeholders on all legal issues, including commercial transactions, litigation, and regulatory matters. The Legal Assistant position covers a broad spectrum of functions, administering general business office activities, travel, expense reports, legal invoices, calendaring and similar matters.

The Legal Assistant is responsible for supporting smooth operations within the Legal department while upholding the institution’s mission and vision and adhering to its set standards.

ESSENTIAL FUNCTIONS OF THE JOB
  • Administrative Support
  • Prepare and distribute reports for weekly team meetings
  • Assist the team in responding to lease information inquiries from other departments
  • Produce a variety of documents, mail, letters and presentation materials
  • Responsible for organizing meetings, coordinating flights, accommodation and visas for the regional Legal team
  • Process and code invoices, including working with vendors and conducting relevant research
  • Prepare expense claim reports
  • Update and maintain accurate information in company database
  • Create and update spreadsheets for internal tracking purposes
  • Transactional Support
  • Provide support to the Legal team in the preparation of delivery, redelivery and sale transaction documentation
  • Work with the company’s Corporate Secretary to arrange for execution of transaction documents
  • Additional Responsibilities
  • Coordinate document legalization including notarization and apostilling
  • Assist with the management of corporate, intra-department, and team projects
JOB REQUIREMENTS, QUALIFICATIONS & COMPETENCIESEducational/Experience
  • Bachelor’s degree is required, preferably in Legal Studies, Business Administration, Political Science, Communications, or a related field.
  • 2–3 years of relevant administrative, legal support, compliance, or professional office experience.
  • Experience drafting professional correspondence, reports, meeting summaries, and other business documents.
  • Ability to leverage AI tools and technology to improve efficiency and document preparation.
Preferred Qualifications
  • Interest in pursuing a career in the legal field, including paralegal studies or law school.
  • Exposure to legal, compliance, contract administration, or corporate governance environments is a plus.
  • Demonstrated ability to conduct research, summarize information, and prepare draft documents for review.
  • Interest in utilizing emerging technologies, including AI-powered tools, to support administrative and legal-related processes.
Technical/Functional
  • High proficiency in Microsoft Office Suite (Excel, Word, CoPilot, Outlook)
  • Working knowledge of databases and document management systems
  • Strong verbal and written communication skills in business English and ability to communicate with all levels of management
  • Aptitude for working in teams
  • Detail-oriented, organized, and able to handle multiple priorities and deadlines simultaneously
  • Attentive to overall quality of the final product
  • Flexible, self-starting, and tenacious with an exceptional aptitude for dealing with ambiguity
  • Able to excel in high-stress situations
