Program Assistant – Herbert Wertheim College of Medicine

Herbert Wertheim College of Medicine is currently seeking a Program Assistant to join our team of professionals.

Duties Include
  • Serves as an administrator during specific examinations for students within the Herbert Wertheim College of Medicine.
  • Accurately maintain files, exams, and records related to assessment and testing.
  • Collaborates with the HWCOM Information Technology team to ensure all IT systems are in order for examinations.
  • Assists in the creation of various reports for faculty and administrators related to student progress and departmental activities.
  • Prepares and distributes exam related materials prior to the test administration.
  • Maintains proper records of student attendance upon arrival and departure from exam area.
  • Continuously observes students during examinations.
  • Responds to student requests and resolves inquiries or testing-related issues in a professional and timely manner.
  • Utilizes software systems to provide administrative support for assessments (e.g., EValue, Exam Soft, NBME).
  • Maintains confidentiality and security of examination materials, student records, and testing data in accordance with university and departmental policies.
  • Assists with the implementation and coordination of approved student testing accommodations in accordance with departmental procedures and university guidelines.
  • Assists with examination logistics including room preparation, materials organization, student check-in, and post-exam reconciliation procedures.
  • Performs other duties as assigned or as directed.
  • Assists with the preparation, proofreading, and quality assurance of examination materials to ensure accuracy and compliance with departmental standards.
Minimum Qualifications

High school diploma or GED and five (5) years of office or related experience providing administrative support, or coordinating functions of an office or department.
