The Administrative Assistant is responsible for performing administrative tasks for a station or department within WFS.
Responsibilities include:
- Reading and routing incoming mail
- Locating and attaching appropriate file to correspondence to be answered by supervisor or manager
- Composng and typing routine correspondence
- Filing correspondence and other records
- Routing calls to appropriate party and placing outgoing calls
- Scheduling appointments
- Greeting visitors, ascertaining nature of business, and escorting visitors to appropriate person
- Compiling and typing reports
- Making copies of correspondence or other printed matter
- Preparing outgoing mail or packages, ordering food for special meetings, and maintaining kitchen, conference room, and copy/supply room
Minimum Requirements:
- Associate's degree (A.
A.) or equivalent from two-year college or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience - Typing required using personal computer
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals
- Ability to read, write, fluently speak and understand the English language
Preferred
Skills:
- Ability to write routine reports and correspondence
- Ability to speak effectively before groups of customers or employees of organization
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists
- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form
Physical Requirements /
Working Conditions:
- Remain in a stationary position 50% of the time
- Occasionally move about inside the office to access file cabinets, office machinery, etc.
- Constantly operates a computer and other office productivity machinery such as a calculator, copy machine and computer printer
- Walk short distances
- Reach above and/or below shoulder
- Handle/grasp documents or office equipment
- Sit and/or stand for short or extended periods of time
- Lift/carry/move objects, files and documents up to 10 pounds
- Work in an office environment using standard office equipment
- Talk, listen, and speak clearly on telephone
- Maintain regular and punctual attendance consistent with the ADA, FMLA, and other federal, state, and local standards
