Job SummaryTo oversee general event and prospective student experience operations within University Admissions; to perform a wide variety of clerical and administrative tasks for the department; and to arrange and participate in special Admissions functions on and off campus.
Responsibilities- Oversee a wide range of administrative functions within the Admissions Office to support routine operations and manage special projects and events; represent the university at assigned events on campus and off campus as needed.
- Assist Admissions Administrators with planning and executing events, including university admissions events, college fairs, high school visits and other opportunities; attend events as needed; travel as needed to fill in for other Admissions staff or to represent the university.
- Serve as back-up to Academic Support Specialist as it relates to functions of the Admissions Petition and Review Committee and the Admissions Conduct Clearance Committee.
- Compile information from records and files for regular and special reports and respond to requests; prepare reports as requested.
- Manage Office of Admissions facilities at both MMC and BBC; collaborate with other units and use space and scheduling tools to manage conference and multipurpose spaces.
- Work with University Facilities, Classroom Management, Information Technology, and others to ensure assets are maintained and surplus in accordance with university policy.
- Serve as administrative liaison with students, faculty, staff, parents, alumni, vendors, and other key constituents; explain policies and procedures; answer questions; coordinate services; handle special requests or problems.
- Provide general office support: answer phones; prepare documents; maintain appointment calendars; set up meetings.
- Serve as the university's credit card user for departmental transactions and adhere to credit card policies and procedures; handle sensitive cardholder information and process credit card transactions for the department/unit.
- Stay abreast of best practices in university admissions functions.
- Perform essential duties during emergencies (e.g., hurricanes); be available to report to work as needed during university emergency closings with appropriate notification.
High school diploma or GED and five (5) years of office or related experience providing administrative support, or coordinating functions of an office or department.
