Job Description Summary
We are looking for an Administrative Assistant to support our Scaffold Division in Miami, FL. The role combines field knowledge with administrative discipline.
The Role:Why Your Experience Matters
You will be the "Command Center" for our Scaffold Department, Construction Manager, and Field Crews, ensuring accurate time-tracking, safety documentation, and labor scheduling.
Key Responsibilities- Labor & Scheduling Logistics:
Coordinate labor schedules alongside the Construction Manager; keep lines of communication open between Sales, the Field, and our Customers. - The "Paperwork" Pro

Manage timesheets, Job Tracker entries, and hourly reconciliations. - Safety & Onboarding:
Lead safety training, track certifications, and manage onboarding for new hires. - Project Support:
Perform estimates for labor and materials, maintain job folders, and manage logistics of job-related tools and supplies.
- Industry Context: Previous experience in scaffolding or construction is highly preferred.
- Tech Savvy: Proficient with Microsoft Office;
Excel is essential for tracking hours and materials. - Reliability: On-site, Monday–Friday 8:00 AM – 4:30 PM role that keeps the Miami branch moving.
- The Language Double-Threat: Bilingual (English/Spanish) is a huge plus.
- Ability to bend, squat, and lift up to 25 lbs.
- Comfortable working in an office and willing to work outdoors when required.

- Maintain attendance records and employee files to verify attendance and vacation.
- Prepare timesheets and time cards for hourly workers.
- Enter hours into Job Tracker.
- Reconcile hours in Job Tally.
- Confirm all hours are entered timely and correctly.
- Performs other duties as assigned by the Construction Manager.
- Maintains and communicates labor schedule in coordination with Construction Manager.
- Assist in communications between Sales, Field, and Customers.
- Performs estimates of Labor and Materials as requested by Construction Manager.
- Reviews and maintains Job Folders.
- Assist in maintaining job-related tools, supplies, and related logistics.
- Assist Dispatch and CM with transportation related activities associated with labor projects.
